TAX INVOICE - simple

Tax invoice is simply a Sale Bill. it is used for regular GST dealer in which taxes are mentioned.



A] When we are creating a tax invoice, following things are mandatory

  • Invoice No
  • Invoice Date
  • Party Name
  • Place of Supply
  • Item Name
  • Qty & Rate
  • GST(GST % will be calculated according to the state of the party. So,State selection is mandatory in sale bill)
  • Amount Received.

  • While creating a tax invoice we will first enter invoice no, invoice date, party name.
  • Now select the item name and other item details like Quantity, Rate and GST details of that item,
  • If the Rate is inclusive of GST, Then keep the tick ON from remove GST (from rate) option. Or else GST will be calculated separately and will be added to the rate.
  • We can also add Discount or Other expenses in percentage or in fixed amount. and in Amount Received box, you will enter the Received Amount from customer. In this way you can add many other items in tax invoice.
  • In Account name , you need to select by which Account you have received the money. i.e. whether Cash In Hand or some Other Account.

  • In this way you can add many other items in tax invoice

    A] Customized settings for item details

  • We can apply Business-wise column settings for our Sale Bill from Setting. For ex. Different columns for different fields like Agro, Electronics, Computer hardware, Electrical, Hardware and many more.
  • While creating a tax invoice we will first enter invoice no.( It comes Automatically or you can enter it manually ), invoice date, party name. After selecting party name we can see " Closing balance" details of that party. (Date wise transaction details). if we select the "All Parties" option , then we will get the list of both the customers and suppliers.
  • Now select the item name and other item details, after selecting item, we will get all the details of that particular item you have entered in master list. For ex. Available Stock, GST percentage, HSN Code etc.
  • If the Rate is entered in item master while creating that item it will come automatically in the tax invoice. Or else you can enter it manually. And if the item is not created in the master list you can add the new item also.
  • If the Rate is inclusive of GST, Then keep the tick ON from remove GST (from rate) option. Or else GST will be calculated separately and will be added to the rate. If you want to give discount (in % or in amount) then, you can select the discount Column accordingly and then Total amount will come. ( All the columns we can add previously according to our requirement from Setting ).
  • We can also add Discount, Packaging charges, Hamali and other Expenses etc. in percentage or in fixed amount from the "Add" button given at the bottom.( to get this automatically, we can add this previously from settings option ). In this way you can add many other items in tax invoice.

  • B] Other expenses

    Also we can add other expenses details for ex. Freight charges, Hamali on net total with the help of ´Add´ button.

    In Account name you can select the account type as per the mode of payment like Cash in hand or in bank account. If you have received money through bank then you can accordingly select the bank account.


    C] Other entry details

    In other entry details, you can add other entries like time of supply, party, dispatch details other details according to your requirement. also we can add details of the consignee in this.

    We can make separate entries of Cash Sale Bill as well as Credit Sale Bill.

    Q. What are the mandatory things for making a Purchase Entry ?

  • Invoice No
  • Date
  • Party Name & State of the Party
  • Item details ( Including Item name, Qty, Rate, Gst Rates )
  • Amount Paid


  • Q. How to make Purchase Entry ?

  • While making purchase entry,first of all we will enter the details of Invoice No., Date, Party Name and then we will enter Item details. when you select party name, you can see the Closing Balance of that party.
  • While entering Item details , Quantity, Rate and GST rate must be added.
  • After selecting item, we will get all the details of that particular item you have entered in master list. For ex. Available Stock of that item, GST percentage, HSN Code etc. you can also add New Item while making purchase entry if the item is not created in Item master. you can also modify or remove these entries.
  • Select Account name ( through which you have paid the amount i.e. Cash In Hand or Bank Accounts) and enter the Paid Amount.Available Stock, GST percentage, HSN Code etc.
