Introduction to Report

Our main regular entries are transaction entries. and all the reports are generated automatically from these transaction entries



1] Balance & Graph Report

This report is generated from our daily Cash/Bank transactions. This report gives us the quick review of our Balance amount available in each of our Bank account and Cash account. also it gives us the graphical view of our Income over our Expenses.

With the help of this report, we can have review of our current Balances in Cash and Bank accounts. and graphical review of our purchase & sale or Expenses and Income.


2. Accounting Reports

Accounting Reports generally includes

  • Ledger Report : Used to check the detailed transactions Report of any Account.
  • Outstanding Report : To check the Outstanding Amount of any Party.
  • List of Accounts : To see the list of all types of accounts including Customers, Suppliers and all other accounts.
  • Account Group Report : In this we can see the Reports on Liabilities, Assets, Expenses and Incomes.
  • Day Book : In this we can check particularly Day-wise transactions.
  • Cash Book/Cash Book (Day-wise) : To see all the Cash transactions it is used.
  • Bank Book : To check the detailed transactions of any of your particular Bank Account.

  • Ledger Report


  • In this report, you will select the particular account whose detailed transactions report with specifications you want to check.

  • Ledger Report ( Detailed ) : In this you can see the detailed report of any specific account same as above.

    Q. What things we can check in Ledger Report ?

  • Entry Number with it's Date, Particulars, Quantity, Rate
  • Cash Paid or Received.
  • Closing Balance of that particular party.

  • Step-wise Procedure to check Ledger Account of a particular Account

    Step-1 :To view Ledger Report, you will Go to Accounting Reports on Main Screen, in that you can see the Ledger( Account) here you can select simple Ledger Report or Detailed Ledger Report.


    Step-2 : In this report you have to select the period first after that here you can select All Accounts or any Specific Account Name. i.e.

    • Customer.
    • Supplier.
    • Expense Account.
    • Bank Account.
    • Bank Loan Account.
    • Unsecured Loan Account.
    • Employee etc. you can check the detailed transactions of all these accounts.


    Step-3 : For ex. we will select a Customer Account to check his Ledger report. It will show you the detailed transaction entries with that customer. that is, Sale entry with its Date and all other details. also this report shows us the Closing Balance of that Customer.




    Outstanding Report

    • What is the purpose of Outstanding Report.
    • What things are covered in this Report.

    Purpose of Outstanding Report

    • Outstanding amount is Payment that has not been received for products or services rendered.
    • This report is useful to check the pending amount to be received from Customer or the pending amount to be paid to the Supplier.

    Q. What things are covered in this Report ?

    • Separately you can check Outstanding Report of Customer & Supplier.
    • Or you can also check Outstanding Report of all the parties.

    Things Covered in Outstanding Report are :

    • Party name with it's Opening Balance, Dr. Balance, Cr. Balance.
    • Balance Amount
    • Credit limit Days.

    While checking Outstanding Report of any party, you have to select Period and then you can select "All" option or "Specific" option


    1. All Parties : In this you can check the Outstanding Amount of all of your Parties. with it's credit limit days.

    2. Specific Party : When you select this option, you can check Area-wise, Salesman-wise & Amount-wise Outstanding Report.


    • Area-wise :When you select Area-wise, in this you have to just select the Area of the Party in which you have to check your Outstanding Amount. this report helps you to check Area-wise outstanding amount.

    • Salesman-wise :When you select this option, you can check your salesman-wise Outstanding Report. means Salesman wise if you are doing sale then you can check how much is outstanding amount through that particular Salesman.

    • Amount-wise : If you want to check Amount-wise outstanding then you need to select this option. in this, you just have to enter the Amount and the outstanding report for that amount will be shown.

    Day Book

    This topic covers

    • What is a Day Book.
    • How to check Items Movement, Cash/Bank Book entries and All the entries for a specific day.

    Q. What is a Day Book ?

    A Day Book is a descriptive record of your day-to-day financial transactions (such sales and/or purchases) are entered on the day they occur.


    In this, we can check specific Day-wise entries of

    1. Items Movement
    2. Cash/Bank Book
    3. All the entries.
    In short, you can check summary of all the transactions.


    Q. How to check Day Book Entries ?

    1. Select Date : To check the summary of all entries in Day Book first you have to select the date of that particular day. after that you can select which transactions you want to check for the selected date.


    • Items Movement :In this, we can see the movement of items of a specific day. i.e. Total Inwards & Outwards of Items (Goods).

    • Cash/Bank Book : In Cash/Bank Book, we can check all the transactions of Cash/Bank for the selected date.

    • All Entries : In this you can see all the transactions of that particular selected day.

      You can also check any entry in detail, by clicking on that Bill/Voucher No. and that entry will get open.


    3. Stock Reports

  • Opening Stock : To check the stock at start of the financial year.
  • Closing Stock : To check the stock at the end of the financial year or of a specific day.
  • Godown-wise stock : In this Report you can check your Godown-wise Stock.
  • Monthly Purchase and Sale : You can check your monthly Purchase & Sale in this report.
  • Price List : Report on price list of your Products.
  • Stock Movement : In this you can check the movement of your stock party-wise, item type-wise, company-wise etc. with Closing Stock.
  • Items below Reorder level : This is the report of minimum stock requirement. This report will remind you to maintain your required stock.
  • Item-wise Sale : In this report you can check your Item-wise Sale.
  • Item-wise Purchase : In this report you can check your Item-wise Purchase.

    Q. What is Item-wise Stock Movement ?

    In Balance-Biz software, Item-wise Stock movement Report is useful to track your physical stock of the goods. you will get the detailed report of sale and purchase entries and also you can open these entries by clicking on the Entry No.

    Following things are covered in this Report

    • To check the movement of your stock, you will first select the period for which you have to check the item movement.
    • And then select the Item Name and you will get the detailed movement report of your selected Item.
    • Which includes :
      1. Inward details (Purchase)
      2. Outward details (Sale)
      3. Closing stock of that Item.

    1. Inward details of the Item :In this, you can see the details like Purchase Date, Supplier name, Entry No. & Inward (purchased) Qty. you can also check this entry.

    2. Outward details of the Item : Here, you can check the sale details of that item for the selected period of time. i.e. Sale Date, Customer name, Entry No. & Outward (sold) Qty.

    3. Closing Stock : After all the entries of Sale & Purchase you will get to see the Closing Stock of that Item.

    In this way you can trace the physical stock of your any particular Item.


    4. GST Reports

  • GSTR-1 : Report of total Sale of a particular month.
  • GSTR-2 : Report of total Purchase of a particular month.
  • GSTR-3B : This Report contains details of outward and inward supplies. you do not have to provide invoice level information in this form. Only total values for each field have to be provided.

  • 5. Final Reports

  • Final Reports : Reports on Trial Balance, Trading Account, Profit and Loss account, Trading and Profit/Loss account, Balancesheet.
  • Profit Reports : This reports are used to check your Item or Item Type- wise profit, Customer-wise Profit and Company-wise Profit.
